Call to Order and Roll Call. James Gibbons-Shapiro called the meeting to order at 12:02 PM. A quorum was present. Present: Steve Baron, James Gibbons-Shapiro, Lydia Harris, Cathy Hjelt, Annie Liu, Margaret Petros, Dorothy Ross, Lina Som, Joann Vaars, and Emily Valenzuela. Absent: Patty Peña and Breenu Sra Guests: Rosemary Baez, CAPC Coordinator 2.   Public commentary for items that are not on this agenda. There was no public comment. 3.   Review and approve prior meeting Minutes from January 12, 2026. A motion to approve the minutes of January 12, 2026 as amended was made by Steve Baron, seconded by Cathy Hjelt, motion passed unanimously. 4.   Discuss / Approve Symposium Committee Business. a.   2026 Symposium i.   Collect Presenter Information Rosemary Baez reported that most panel information has been collected. Dorothy Ross and Annie Liu are working on their sessions. James Gibbons-Shapiro discussed the lunchtime presenters. He stated that if the President of the University is not available for the morning welcome, we can include her during lunch. After some discussion, it was agreed by consensus that we invite the current chair of the Board of Supervisors to speak. James Gibbons- Shapiro agreed to follow up on the invitation. Lydia Harris suggested the CAPC Chair participate during welcome. ii.   Discuss Venue Walk Through Rosemary Baez provided an update on the walk through. James Gibbons-Shapiro

CAPC   –   SC Minutes 02/09/26   Page 2 of 2 reported that we are waiting for the AV quote. Depending on the quote, we can trim items to reduce costs. All breakout rooms are wired for zoom, and it was suggested we use zoom to record the breakout rooms. Sessions in the Ballroom will be recorded. There will be a tech crew on site to assist. A-frames will be provided for directions to the symposium as well as easels, but we need to provide signage. Annie Liu suggested that the QR code for CEU have an easel available at their table, and that the QR codes are posted in front of the breakout sessions. Joann requested we increase the easels count to five. The resource table area will have access to power. iii.   Discuss Food Update The committee requested we add a sugar free item to the afternoon snack menu. iv.   Budget   –   We are still waiting for A
